Student Group Events

The McNamara Alumni Center welcomes events hosted by UM student groups which qualify for University pricing as noted on this webpage under the following conditions:

  • Your student group must be registered with the University: You must provide the group’s Registered Student Organization or Campus Life Program number for our records. The group must be within good standing with the Student Union Activities Office.
  • Food + beverages must be provided by D’Amico Hospitality: D’Amico Hospitality is the exclusive caterer for McNamara Alumni Center. No outside food or beverage is permitted. Food and beverage minimums apply to every reservation. A quote from D’Amico is required prior to moving forward with a venue contract. 
  • Evening events must end before 11:00 pm. Up to two hours of setup are included beforehand and one hour after guest departure for teardown.
  • Security requirements are at the discretion of McNamara Alumni Center: USecurity is required for all student hosted evening events; UMPD is also required for events serving alcohol. Security requirements may be modified at any time at the discretion of McNamara’s Event Management (including daytime events). McNamara Alumni Center may require a specific entry point, and a security screening including bag checks and wanding may apply to all guests upon entry. No re-entry is permitted. Event guests must be 18+ and may be asked to present valid ID.
  • Full payment will be due prior to your event: Payment is due the week prior to your event. You will be invoiced after the event takes place for any additional costs incurred. All invoices must be paid before the academic term ends.

Ready to Reserve a Room?

You’ll need to provide the following:

  • Signed Contract: After a contract is sent, it’s your responsibility to have the contract signed within two weeks of being issued. Your event is not confirmed until the signed contract is received by McNamara.
  • Main Contact: Designate one primary contact for all communication. The Treasurer’s contact information is also required for billing purposes. Name, phone number, email address, and a mailing address are all required.

  • References: McNamara Alumni Center reserves the right to ask where the event was held in the past and may contact managers of those venues for references. McNamara reserves the right to decline future bookings if the event results in multiple incidents or issues. 

Planning Process:

You’ve signed your contract, now what?

You’ll work with a McNamara Event Coordinator: You will be paired with a McNamara Event Coordinator who will reach out to you to schedule a planning meeting and help coordinate your venue details and logistics. It’s crucial that you stay in communication with your McNamara Event Coordinator with all event updates. Guidelines and parameters must be followed in terms of room access time, decorations, etc. An in-person meeting at McNamara is required for all first-time events and/or events expecting more than 100 guests.

McNamara Alumni Center may require you to have a certificate of insurance on file for your event. Your event coordinator can provide to you the legal language required to have on the certificate.

You’ll work with a D’Amico Hospitality Planner: You will be paired with a Planner from D’Amico Hospitality to discuss any food and beverage elements for your event. There may be minimums required. Please note: D’Amico’s payment process is separate from the venue.
